Quick Start

This guide walks an organization admin through the first-time setup of AMS.

1. Sign in

Sign in via Keycloak (OIDC). First-time users are onboarded automatically — a personal workspace and default team are created on first login.

2. Create or join an organization

From your personal workspace, navigate to Organizations and either:

  • Create a new organization (you become OWNER)
  • Accept an invitation to join an existing org

Creating an org automatically creates:

  • A default organization workspace
  • A default team
  • A clients team
  • Your public org profile (synced from private profile)

3. Invite team members

In your organization workspace → User Management:

  • Go to Users & Invitations
  • Send email invitations; assign roles (ADMIN, MANAGER, MEMBER)
  • Manage teams under Teams & Members

4. Invite clients

Navigate to ClientsClient Invitations:

  • Send email invitation to clients
  • Clients accept the invitation, create their account, and set up their profile
  • Once active, clients appear in your clients list

5. Set up document definitions

Go to Application SetupDocuments:

  • Create document definitions (e.g. "Passport", "Tax Return", "Income Statement")
  • Optionally upload admin template files for each definition (e.g. standard forms)

6. Create an application template

Go to Application SetupTemplates:

  • Create a template (e.g. "Mortgage Application 2026")
  • Assign document definitions with required/optional overrides
  • Define custom statuses and transitions
  • Optionally build a workflow with automated steps

7. Create an application

Go to ApplicationsNew Application:

  • Select the template
  • Fill in basic details (title, description, type)
  • Add applicants (link to client profiles)
  • Review assigned document slots
  • Submit to create the application

8. Process the application

On the application detail page:

  • Documents tab — review uploaded files, approve or reject
  • Messages tab — communicate with clients (external) or internally with staff
  • Applicants tab — manage applicant details
  • Decision tab — record the final decision
  • Workflow tab — track progress through workflow steps
